Packing and Sending Sales Orders
To pack and send a sales order, you have several options:
- You open the packing screen via the dashboard
- You scan the code on the printed delivery note
- You select the status 'packing' on the details page of a sales order
We naturally assume that you have already activated the necessary shipping methods.
Packing Modes
The packing screen has two modes between which you can switch using the blue button top-left on the packing screen:
- Pack and send, where the entire packaging process is completed on the packing screen. So, you provide a shipment with the correct contents (and packaging materials), give the correct weight, choose a suitable shipping method, and attach the shipping label to the box.
- Packing in advance, which skips some of the above steps and only expects a correct content & packaging material. So, the weighing, choosing of a shipping method, and printing and attaching shipping labels can be done by someone else for control or automated.
Overview of Orders to be Packaged
Stoqflow will always ask you to scan the next order to be packaged. However, you can also choose to show a list of orders ready to be packaged.
On this overview list, you can filter orders based on various criteria such as:
- Courier
- Store
- Product
Packing and Sending
Order Information
The packing screen provides an overview of all order details relevant to shipping. So, you can view the customer data and correct it if necessary, see internal notes, and clearly show whether there is a preference for the shipping method.
?> Tip Extra information where the highlight feature was enabled will also be clearly displayed to the packer.
Packing a Sales Order
When packing a sales order, there are several options and various control points. So, you can choose via the order settings whether to assign the order content compulsory or optional to one or more packages. This can be useful when you want to know exactly what was shipped in which package. In the same settings menu, you can indicate the status you want an order to have after printing a shipping label.
In the example below, we assume that assigning order content is optional. Our application takes care of automatically assigning all content to the first shipment. The packer only needs to pass some control points (weight control, address control, ...) and then create one or more shipping labels, print them, and complete the order with a swipe movement to the right.

Note that you can also get the opportunity on the packing screen to:
- view internal and delivery notes (if available)
- reprint the delivery note again
- view attachments
- change the package type (pallet vs. package)
- see the preferred courier (or adjust it)
?> Tip Make sure your product data is up-to-date. Matters such as HS-code, country of origin, purchase value, and weight ensure a smoother processing of your orders and additional control points during packing.
Assigning Order Content to a Package
In the example below, we show how you can distribute order content over multiple packages. We do this by manual assignment, but this can also be done using a barcode scanner (scanning each item and assigning it to the selected shipment) or automatically. Our app can make a logical distribution with one click:
- One shipment per SKU
- One shipment per item
- Everything in one shipment
If you made a mistake, you can always correct this by removing the assigned content from the shipment (in its entirety or per item) to add it again to the correct package.

!> Attention When assigning order content is compulsory, you will not have access to the automatic distribution option during packing. Only manual assignment or using a scanner will be possible.
Mandatory use of a Barcode Scanner
To further avoid errors during packaging, it is possible to make the use of a barcode scanner mandatory via the order settings. In this way, the packer must scan each item with a known barcode to assign it to a shipment. This ensures that no errors can occur because a packer accidentally adds the wrong item to a shipment.
?> Tip When a large number of items with barcodes need to be added to a shipment, you can avoid the mandatory scanning requirement by holding down the mandatory scanning notification for a few seconds. So, the usual buttons will be visible again, and the packer can quickly add all items without having to scan them each time.
Packing in Advance
Packing in advance differs from "Pack and Send" in that all distractions during packing in advance have been removed from the packing screen to make packing as fast as possible. We assume that the vast majority of orders can be packaged quickly and shipped, and that the other orders will still need to be manually reviewed.
So, when you pack in advance, you will not see validation on the recipient's data, the weight of the shipments, or even the shipping method used.
!> Shipments created here can only be stored and are not registered. It is therefore not possible to print shipping labels or customs documents during packing in advance.
